Salary: Commensurate with experience ($16.50 – $24.90 per hour)

Position Summary
The Administrative Assistant is a key member of the team, providing critical support to the day-to-day operations of the organization. This role involves a combination of front-line service, internal coordination, and back-office administration. The successful candidate will be organized, tech-savvy, and deeply aligned with our values of community service.
Key Responsibilities
Administrative Support
- Manage office communications, including answering phones, email correspondence, and in-person inquiries.
- Schedule appointments and meetings for program staff and leadership.
- Maintain accurate electronic and paper filing systems, including client intake forms, donor records, and program data.
Program & Operational Support
- Support program registration and assist with client intake and referrals.
- Prepare and distribute reports, meeting minutes, newsletters, and outreach materials.
- Track program participation and support the collection of statistics and outcome data for grants and reporting.
Financial & Donor Support
- Assist with invoicing, petty cash reconciliation, and donation processing.
- Maintain up-to-date donor records and support grants, fundraising campaigns and events.
- Liaise with bookkeepers, vendors, and suppliers as needed.
Technology & Data Entry
- Use Google Workspace, QuickBooks Online and open-source software to manage administrative workflows.
- Ensure data is entered accurately and kept confidential in line with organizational policies and privacy legislation.
Team & Community Relations
- Serve as the first point of contact for clients, volunteers, and community partners.
- Support volunteer coordination and logistics for community events.
- Participate in staff meetings and contribute to a positive, welcoming workplace culture.
Qualifications
- 2–3 years of experience in administrative or office support, ideally in a nonprofit or community-based setting.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and general database use.
- Experience handling confidential information with discretion.
- Ability to focus, prioritize, and work independently in a fast-paced environment.
- Understanding of and alignment with the mission and values of nonprofit, community-oriented work.
- Bilingualism (English/Spanish or Asian Languages) is considered an asset.
- Valid driver’s license and access to transportation may be required, depending on the office location.
Working Conditions
- Monday to Friday, 8:30am–4:30pm, with occasional evenings or weekends for special events.
- Hybrid work arrangements may be considered.
- This role may involve light lifting (event materials, supplies) and front-desk responsibilities.
