Usually, we hire people we know, such as volunteers, or promote from within, because we have seen the quality of work they do.

Role Title: Volunteer Coordinator
Location: Charlottetown, PEI
Time Commitment:
- Hours: Suggest 3-6 hours per week, or 12-24 hours per month – adjust based on your needs and what's realistic for a volunteer.
- Schedule: Flexible hours, days/times to be mutually agreed upon.
- Duration: Minimum 6-month commitment requested, with an opportunity for ongoing involvement.

Position Summary
The Lord's Blessings are making us grow rapidly; therefore, we need another Volunteer Coordinator. A volunteer Coordinator is a key support role within the Charlottetown Community Church team, dedicated to enhancing the volunteer experience and ensuring the efficient coordination of our valued volunteers. This role directly contributes to our mission by helping to recruit, onboard, support, and appreciate the individuals who generously give their time and talents to our initiatives. It is a key supervising team member, providing critical support to the organization's day-to-day operations. This role involves a combination of front-line service, internal coordination, and back-office administration. The successful candidate will be organized, tech-savvy, and deeply aligned with our values of community service.
Key Responsibilities
Technology & Data Entry
- Use Google Workspace and open-source software to manage administrative workflows.
- Ensure data is entered accurately and kept confidential in line with organizational policies and privacy legislation.
Volunteer Recruitment Support:
- Supervise and coordinate three or more volunteers to a maximum of 12 volunteers.
- Assist with drafting and posting volunteer opportunities on various platforms.
- Help manage and respond to volunteer inquiries via email or phone.
- Schedule and confirm interviews or orientation sessions for prospective volunteers.
- Maintain an organized database or spreadsheet of volunteer applications and contact information.
Onboarding and Administration
- Prepare orientation materials and welcome packets for new volunteers.
- Assist in conducting background checks and reference checks as required.
- Help ensure all necessary volunteer paperwork is completed and filed accurately.
- Support the Volunteer Coordinator in maintaining up-to-date volunteer records and hours tracking.
Volunteer Communication & Support
- Assist with sending out regular communications to volunteers (e.g., newsletters, event reminders, thank you notes).
- Help address general volunteer questions and direct them to appropriate resources.
- Support the organization of volunteer appreciation events or recognition activities.
General Administrative Tasks
- Perform general office tasks, including data entry, filing, and organizing digital documents related to volunteer management.
- Assist with preparing reports or presentations on volunteer engagement as requested.
Qualifications
- No experience needed, will train.
- Optional: experience in administrative or office support, ideally in a nonprofit or community-based setting.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and general database use.
- Experience handling confidential information with discretion.
- Ability to focus, prioritize, and work independently in a fast-paced environment.
- Understanding of and alignment with the mission and values of nonprofit, community-oriented work.
- Bilingualism (English/Spanish or Asian Languages) is considered an asset.
- Valid driver's license and access to transportation may be required, depending on the office location.
Working Conditions
- Monday to Friday, 8:30 am–4:30 pm, with occasional evenings or weekends for special events.
- Flexitime available.
- Hybrid work arrangements may be considered.
- This role may involve light lifting (event materials, supplies) and front-desk responsibilities.
